ABOUT ARTIST/ORG/BUSINESS:
DOUBLE EDGE THEATRE, an artist-run organization, was founded in 1982 by Stacy Klein. The ensemble applies vigorous physical training and the principle of an artist’s autonomy to create work intimately woven with the community. In 1994, Double Edge moved from Boston to a 105-acre former dairy farm in rural Ashfield, MA, to create a sustainable artistic home. Today, the Farm has become an International Center of Living Culture, including performance, international touring and artist collaboration, year-round theatre training, conversations, convenings, greening and farming initiatives, and a popular indoor-outdoor traveling spectacle which takes place alongside the hills, pastures, river, and gardens of the Center.
Positions
Double Edge seeks an Administrative Associate to join our office team and assist in the management of all aspects of the running of DE’s office admin, including box office management, grants administration, development, and hospitality. This position will encompass communications with guests, answering and making phone calls, monitoring emails, assisting members and audiences with box office, supporting the grants team, assisting with data upkeep, and collaborating with several departments within Double Edge.
Essential Responsibilities include:
- Box Office:
- Work closely with the Box Office Manager to monitor the tickets email, respond to audience questions, book Member tickets, answer phone calls, make waitlist offers, manage reporting
- Learn and work with Eventbrite, our ticketing platform, to create and edit events, and sell tickets online and over the phone
- Communicate with other departments to synchronize ticket releases, prep and proof Eventbrite drafts and pre- and post-show emails
- Assist in FOH prep in the summer for performances, including printing audience lists and programs, setting up audience areas, charging flashlights and radios
- Be on call to work FOH, in the event extra help is needed, i.e. for a rain performance or other FOH member out sick, etc
- Office Administration:
- Monitor the office@ email inbox and communicate with relevant departments or people
- Assist with office supply tracking and ordering
- Assist with other administrative tasks, as needed and arranged with the team
- Assist with CRM data upkeep
- Hospitality:
- Identifying, negotiating, and reserving accommodations for programs and events with our local partnerships
- Tracking accommodations and travel expenses
- Communicating plans and reservations with guests and vendors, checking dietary restrictions and housing preferences
- Collaborating with the Hospitality Team for planning, reservations, booking spaces, and scheduling
- Transportation coordination and logistics, booking air / train / bus travel, arranging pickups, booking out vehicles on the calendar
- Arranging Guest Apartment cleanings
- Monitoring the hospitality@ email, keeping the calendar, google docs, Asana, and Slack channels updated
- Grants:
- Work with the Grants department on administration of grants including research, applications, admin tasks, text editing and proofreading, correspondence, filing, and managing the grants@ email
- Customer Relations Management (CRM)/ Data Maintenance
- The CRM requires data checkups and upkeeps periodically related to different constituencies within the whole of our organization, including but not limited to cross-checks and batch entries post transition to a new CRM, duplicate merging, and related constituent engagement.
Necessary Skills:
- Strong computer literacy, including proficiency in word processing and database software, although some of this (particularly the CRM) will involve onsite training
- Strong attention to detail and accuracy, particularly in written materials, deadlines, and document management
- A calm and welcoming phone presence
- Enthusiasm for the multidisciplinary aspects of a nonprofit arts office
- Ability to multitask and manage an evolving and diverse range of responsibilities
- Flexibility, organization, and responsivity to changing needs and priorities
- Ability to work creatively independently as well as collaboratively
Employment Details:
- This can be a hybrid position, in person required for the summer season, but can be online or a combination of online and in person in the other seasons.
- Payment:
- $880 per month in non-summer season for approximately 40 hours per month
- $2,000 per month for full time summer onsite hours
- Benefits include meals when available onsite, and housing potential.
